Dear MnAEYC Member:

 

We are very excited that MnAEYC is scheduled to host the Midwest AEYC Conference, April 14-16, 2005 at the Minneapolis Convention Center.  I am the volunteer coordinator for the event.   MnAEYC wants to provide an excellent, professional level conference and needs many volunteers and much enthusiasm to do so.

 

You have indicated on your membership checklist that you would like to be involved with conference planning.  We have a variety of ways you could be involved as a volunteer, but want to know about your interests so that we can match your skills to the task needed. A few of the tasks and their timelines are listed below:

 

  • Program Committee—We try to utilize people from a variety of different areas in our field to get the best selection possible.  We will have a small committee for each track.  We ask that you help solicit workshop proposals from different areas so that we can offer well-rounded training and something for everyone.   Finally, we like our conference committee to attend the conference to evaluate workshops.  (This committee starts soon and continues through the conference).   • Pre-Conference Committee—This committee’s responsibility will be to solicit ˝ or full day comprehensive trainings for the April 14th pre-conference and to also be present at the pre-conference day at the Minneapolis Convention Center.   (Now through Conference) Co-Chairs Mary Wynne & Cory Woosley

  • Presenter Committee—This committee will be charged to host and troubleshoot for presenters at the conference.  Included in this committee’s responsibilities is to take care of the event’s Keynote and Featured speakers.   (Late Winter2004 through Conference)

  • Publicity/Marketing Committee—This committee will be involved in the design and proofing of the Conference teasers, fliers, and program.  This committee works closely with the Executive Director, Conference Co-Chairs, and Office staff.  (This committee starts soon and continues through the conference).   • Exhibitor Committee—This committee solicits and recruits exhibitors for our conference.  The challenge of this committee will be to bring in more participants for a larger audience.  The Exhibitor Committee is expected to act as a host and troubleshooter during the conference for Exhibitors and act as a liaison between Exhibitors, Facility Staff, Trade Show Staff, and Conference Co-Chairs.  (This committee assignment runs Summer 2003 through Conference.)   • Fundraising Committee—This committee solicits and recruits monies for our conference.  This is to help offset the cost of Speakers, Events, etc. to host a more professional and diverse conference.  This committee will work with the Finance Chair, Hospitality Chair, Executive Director, and Conference Co-Chairs.  (This committee assignment runs now through Conference.)   • Hospitality/Special Events Committee—This committee’s responsibility is to recruit and gather information and to set up tours and events to be held throughout the Midwest Conference. It will also be responsible to help with the tours and special events at the conference (This committee assignment runs now through Conference.) Chair Linda Phelps

  • Registration Committee—Volunteers for this committee will be working early spring just before the conference on nametags, etc and at the conference to set-up and run the Conference Registration Desk.    (This committee’s assignment runs January 2005 through Conference.)  Chair

  • Folder Stuffing Committee—This committee’s responsibility is to recruit and gather information and/or product samples for the MnAEYC Conference Folder.  It is also the responsibility of this committee to get together in late March or early April to stuff said folders.  (Timeline for this is Fall of 2004 through the beginning of April 2005.)

  • Logistics Committee—This committee works closely with the Conference Co-Chairs to line up audio-visual equipment, food requirements, room assignments, facility requirements, moving requirements, etc., during the conference venue.  (Timeline for this is ongoing throughout conference planning)
